MANAGEMENT INFORMATION SYSTEM PROJECT


Executive Summary

This report describes the effort made by me for the learning by first hand practical experience about a business organization MANAGEMENT INFORMATION SYSTEM PROJECT .  Today is the era of experience as is said by quotation “Experience makes a man perfect.” No body can deny the importance of practical training and experience.Through this type of projects get the first touch of professional exposure of the roles; they have to play during their professional careers. The students not only acclimatize themselves to the corporate environment but also learn to assume responsibility, co-operation and teamwork the hallmarks of modern MANAGEMENT INFORMATION SYSTEM PROJECT .
Having experience of engineering company is really a good experience for me.  I am submitting all my experiences. 
I was lucky enough to have a chance of doing internship in DESCON World Headquarters Lahore where I learnt a lot about the practical business and above all, the mental discipline and awareness, which are the most useful tools for an executive to develop the professional career.

First of all, I want to express all and thanks to Almighty Allah whose blessings are above each and every thing which make me able to present my tiny effort.  All prays to Hazrat Muhammad (PBUH) who is the reason for creation of the universe and whose kindness came to my part.

MANAGEMENT INFORMATION SYSTEM PROJECT  of THE ORGANISATION


Descon Engineering was established in 1977. Since then, it has grown to become a reputable multinational organisation operating in Pakistan and the Middle East. The corporate office is in Lahore, with establishments in the U.A.E, Saudi Arabia, Qatar and Oman.


Now completing its third decade of operations the company caters primarily to the Petrochemical, Oil & Gas, Fertilizer, Power, Chemical, Cement and Infrastructure sectors offering engineering, procurement, manufacturing, construction, maintenance and turnkey services.

The Company’s corporate office provides support to its Business Areas in the form of policies, systems, procedures and resources. It conducts periodic audits to verify implementation and effectiveness of business operations to achieve the performance objectives. Wherever necessary, the corporate office takes corrective actions to improve upon the business processes.

The Business Areas operate on a proactive approach and are primarily responsible for execution of business, implementation of the corporate policies, systems and procedures. They provide feedback on progress, financial health, and status of systems and effectiveness of processes, to the corporate office.

The Company is committed to deliver quality services in a safe and timely manner with the overall objective of ensuring customer and shareholder satisfaction.

PLANT CONSTRUCTION & SERVICES
(PC & S)
PC & S consist of following department

Plant Services
A) Plant Construction
Plant Construction (PC) is company’s major business arm. The PC covers Mechanical Erection, Electrical & Instrumentation Installation, Painting, Insulation and Minor Civil Works.   In order to execute the work scope under the contracts, PC organizes the project control systems such as cost & schedule control, quality control, mobilization of personnel, establish temporary site facilities, deployment of equipment and plant, procurement of project material, contract management, subcontracts, pre-commissioning & commissioning.
Major responsibilities of PC & S include:

§     Provide direct support to all the EPC projects, by undertaking all the construction and logistics related activities.

§     Provide support to all the overseas business regions, whenever required.

B) Plant Services


The objective of Plant Services Business is to carry out following activities:

§     Operation &/or maintenance of plants.
§     Modifications, upgrades, retrofit of plants.
§     Supply of technical manpower to selected customer.

Plant Services business area is a result of the growth and maturity of operating plants. Plant Services is aimed at providing specialized services to oil, gas, chemical, petrochemical and power plants.
Plant Services operations comprise of pre-qualification, bidding, contract signing, & execution of contracts. Following are main activities of Plant Services: -

§     Recruitment and selection of manpower.
§     Mobilization of resources.
§     Job execution.
§     De-mobilization.
§     Pre-Qualification & Bidding.
§     Implementation of Cost Monitoring & Control Systems.
§     Maintenance & regular updating of a large computerized Manpower Data Bank of experienced craftsmen & supervisory manpower.
§     Co-ordination with other Business supports Departments & Business Areas as and when required.


DESCON MANUFACTURING PAKISTAN (BA)

The Manufacturing Business Area of Descon Engineering is involved in heavy, medium and light engineering activities, which includes but is not limited to Sheet Metal Fabrication and Piping Works.

The facility is located at Defence road on a 109,515 square meter piece of land with covered area of 27,379 square meter. The workshops include:

1.      Mechanical
2.      Electrical
3.      Hydraulic press
4.      Welding
5.      Heat treatment furnace
6.      Galvanizing
7.      Sand blasting and painting

The Products of the Manufacturing Business Area includes Skid Mounted Units (Amine Units, TEG contactors, Dehydration Units, Phase Separators, etc.), Slug Catchers, Unfired Pressure Vessels, Reactor Columns, Heat Exchangers, Industrial Boilers, Water Treatment Plants, Fuel Storage and transportation bullets, Communication Towers, Cable Trays etc.  This unit handles materials like Carbon Steel, Alloy Steel, Stainless Steel and Duplex materials.This facility possesses ASME stamps including, U, U2, S, A, PP,R for pressure vessels , piping and boilers.
The products of Manufacturing BA have also has been approved for CE markin



BUSINESS SUPPORT DEPARTMENTS


BUSINESS DEVELOPMENT

Business Development develops and implements strategies for securing jobs for the company. Its major responsibilities include

§     Identification of new business opportunities
§     Close contact with customers
§     Effective back up of business interests of the company
§     Business plans are generated and targets are fixed to provide guidelines for business activity
§     Business reports suggesting venturing into new areas of business are prepared.

These business plans are than implemented and endeavors are made to achieve the business targets.
All Heads are kept informed about these business opportunities through the computer based BD Information Exchange System. The system provides on-line information on status of all projects under consideration.
BD ensures that the customer requirements are determined and met at the time of preparation of proposal and during the execution of the project.

Proposals


Proposals Section is another section of business development. Its major responsibilities include

§     Preparation of proposals of Construction as well as EPC (engineering, procurement, and Construction) proposals in light of the terms and conditions laid down by the Customer by using state of art IT tools like company-owned WinBid System, Primavera Project Planner, etc. Submissions are made on standardized formats for Technical and Commercial proposals.

§     Pursuing the Customer and ensuring that all of Customer’s requirements related to the proposal are fulfilled.

§     Technical / commercial clarifications and other contractual matters during pre-award negotiations.

§     Thereafter, it ensures that all post-proposal requirements / clarifications received from the Customer are fully understood, negotiated and incorporated into the final contract.



QUALITY, HEALTH, SAFETY AND ENVIRONMENT
(QHSE)

Quality, health, safety, and the environment management is not only Descon's top priority but it is our way of meeting external as well as internal business commitments. Descon operates at all of its establishments and projects through well-integrated ISO 9001:2000 certified QHSE systems. Its system is based on proven policies, procedures, and methods statements that meet industrial standards such as OHSAS, ASME, and CE certification.

The QHSE department serves as the domain expert to implement the company’s Quality, Health, Safety and Environment policy at all projects with the excellence in performance w.r.t. QHSE standards. The complete awareness of our core and operating values is ensured through a comprehensive program of training and knowledge dissemination to staff before and during project execution.

Major responsibilities of QHSE include,

  • Coordination with external certifying/ surveillance auditors

  • Preparation of schedules for Project Assessment

  • QMS and HSE audits, coordinate with BAs/BSDs/Projects for effective implementation and to ensure compliance with & Company’s policies and procedures

  • Maintain QHSE policies and circulate Company wide

  • Monitor corrective & preventive actions necessary for effectiveness of Quality Management System

  • Ensure that QHSE documents are in line with Company’s Quality Management System and remain fully updated. Ensure that all the Quality Records are maintained as per the written procedure


  • Coordinates with proposal manager in the study of tender documents and specifications especially with regards to QHSE requirements

  • Prepare QHSE documents for proposals covering general and project specific tender requirements

  • Ensures that ITS-PCS software is used for monitoring, measurement, analysis and control purposes at project sites

  • Coordinate with Incharge PP&A for selection and qualification of selected craftsman required by the BAs/Projects

  • Develops and obtains Management concurrence to promote a recognized system of rules and procedures to prevent accident and property loss

  • Keeps Management regularly informed regarding the state of HSE effort throughout the Company. Devises pro-active /corrective measures to prevent accidents and ensures the compliance accordingly

  • Reports to Management in case non-conformities are persistently occurring to the HSE related Method Statements and proposed remedial measures.

  • Issues monthly HSE Bulletins to all sites, which include information on unusual accidents, remedial measures and training material

  • Plays the role of coordinator, facilitator and advisor to all levels of management over the QHSE matters. Maintains an updated statistical record of all inspections, audits and QHSE performances at all project sites / establishment of Company

  • Ensures that all cadres in the Company are fully aware of the potential hazards that they may experience and imparts necessary training for avoiding loss or damage to life and property though a formal organizational effort.


CORPORATE FINANCE

Responsible for meeting the company’s financial obligations, the finance department is headed by Chief Financial Officer (CFO), who is also the company secretary, CFO is supported by a team of managers and financial controllers who look after the various departmental functions as detailed below:


  • Company Secretary and CFO: Manages the overall finances of the group. Outlines policies for keeping the group financially strong to meet the financial requirements in the form of guarantees for the groups business of MANAGEMENT INFORMATION SYSTEM PROJECT 

  • Corporate Affairs: Keeps a liaison with the government regulatory authorities such as the Security and Exchange commission of Pakistan (SECP) to make sure the company is fulfilling the statutory requirements of registration with SECP.

  • Corporate Treasury: Plays the role of coordinator, facilitator and advisor to all levels of management over the QHSE matters. Maintains an updated statistical record of all inspections, audits and QHSE performances at all project sites / establishment of Company MANAGEMENT INFORMATION SYSTEM PROJECT 

  • Payroll: Payroll performs the salary disbursement of all the company employees and keeps a record of employee accounts of MANAGEMENT INFORMATION SYSTEM PROJECT
